Terms of Business

The following Terms of Business outline the scope of services, pricing structures, and general conditions under which BookVista Accountants Ltd provides professional services to our small business clients.

1. Professional Engagement

Upon engaging BookVista Accountants, a separate detailed Letter of Engagement will be issued. The Letter of Engagement, in conjunction with these general terms, constitutes the full contract between BookVista Accountants Ltd and the client.

Services provided are limited to those explicitly agreed upon in the Letter of Engagement. Any additional services requested will be charged separately under a revised agreement.

2. Pricing & Fixed Monthly Fees

Our primary pricing structure operates on a fixed monthly fee, billed in advance on the 1st of each calendar month. We do not operate on hourly invoicing models unless specifically agreed in writing for extraordinary advisory tasks.

Invoices are sent electronically and payments must be settled via Direct Debit or bank transfer within 7 days of the invoice date. Late payments may result in temporary suspension of active software integrations (e.g. Xero syncing) or filing services.

3. Client Responsibilities & Data

To deliver bookkeeping, VAT returns, and corporation filings accurately and on time, clients are responsible for providing all necessary receipts, transaction details, and payroll figures. BookVista Accountants is not liable for penalties or interest charges arising from inaccurate, incomplete, or late details supplied by the client.

We operate remote-first, paperless systems. Clients must upload document attachments, photos, or data exports via our recommended software integrations (Xero, Dext, FreeAgent). We do not accept physical paper delivery of receipts or records.
